Transfer Microsoft Outlook Data Files From One Computer to Another

Microsoft Outlook data was compress in a file with an extension file .pst. PST files or Personal Storage Tables files was an Microsoft Outlook compressed files that composed of E-mail messages, contacts, task, and calendar. It also includes e-mail accounts settings that a user configures in a certain Microsoft Outlook application with in the computer where it was installed.

Microsoft Outlook data can be back-up and copy to another computer by many means, but I will teach you the two most simple ways, export and import and second is to copy and replace the files from Microsoft Outlook files directory.

Export Microsoft Outlook Data using Microsoft Outlook Application

  • Open Microsoft Outlook

  • Go to file menu > Import and Export

  • Select Import to a file and Click Next

  • Select Personal Folder File (.pst), click Next

  • Select the folder you want to export. If you want to export the whole Microsoft Outlook Data Select the main file folder  “ Personal Folders”, check the check box “include subfolders” and Click Next

  • Browse the folder or drive where you want to save the exported Microsoft outlook Data files, click Next

  • On the options select the actions you want to perform in duplicate items in case there is. There are three options indicated that you can choose for, “Replace duplicates with the items exported”, “allow duplicate items to be created”, and “Do not export duplicate items”. After selecting click Finished.

Copy Outlook Data files Direct from Its directory

  • For Windows XP Operating System browse to the Following Folder:

  • C:\Document and Settings\Username\Local Settings\Application Data\Microsoft\Outlook

  • Copy all the files especially the Outlook.pst

  • Save to the drive to Folder where you want to save the back-up data

Note:

Username – is the main user or the Profile user name that these e-mail was installed and configured.

Local Settings and Application data folders are usually a hidden folder so I suggest you to manually type the folder name in the Navigation Bar, or you can enable hidden files options in the tools menu > folder options of your windows explorer.

  • For Windows Vista and Windows 7 Operating systems Navigate to folder:

  • C:\Users\Wilmer\AppData\Local\Microsoft\Outlook

  • Copy all the files especially the Outlook.pst

  • Save to the drive to Folder where you want to save the back-up data

Import the Files from another Computer

  • Open Microsoft Outlook Application

  • Navigate to File > import and Export

  • Select “from another program or file” click next

  • Select Personal Folder (.pst) type of file click Next

  • Browse the folder where you save your exported data from another computer and click Next

  • Select the folder where you want to place the imported files and data and Click finish

Paste the Personal Folder Files (.pst) manually

NOTE: When you paste the files of Microsoft Outlook Data Files in another computer it will overwrite the existing files of Microsoft Outlook in your computer, that means that existing e-mails and other Microsoft Outlook Files will be lost.

  • C:\Document and Settings\Username\Local Settings\Application

  • Browse your back-up data of your  Microsoft Outlook

  • Copy the files including the Outlook.psr file

  • Browse the folder where you paste the files the Microsoft Outlook (.pst)

  • FOR Windows XP

  • C:\Document and Settings\Username\Local Settings\Application

  • Browse your back-up data of your  Microsoft Outlook

  • For Windows Vista and Windows Operating system

C:\Users\Wilmer\AppData\Local\Microsoft\Outlook

Paste the files here. It will overwrite the old one
